Working with Files, Folders and Directories


Knowing the structure of files and folders on the PC is the single most important thing you can learn about a computer. A person may have a very good understanding of how to use the computer and the programs, but if you ask them where where their data files are located, they cannot tell you. Most people spend a lot of energy learning how to use the computer and programs, but neglect to learn about the storage of the very data they are creating. If cannot find your data when you need it, what good is it. This is especially important when it comes to backing up. If your hard drive is acting up your data may be in jeopardy. The very first thing you should do is a backup. You may only have ONE shot so if you do not know exactly where you are storing your files, you could be in trouble.

A word about backing up
Most people do not have all of their data backed up because they do not know where their files are located. In fact, they have a false sense of security because 3 years ago when the backup system was put into place they were sure that they included everything. Most often, this is not the case. We have seen businesses go for years thinking that their backup set is solid, but take the time to verify! (also see Backing Up your computer).

Do not let this happen to you, take the time to understand the file structure of your PC before a disaster forces you to. Here is a simple analogy to help you understand, think of it this way:

Hard Drive = Filing cabinet
Folders = Drawers of the filing cabinet
Files = Individual documents in the drawers
 

You should be as organized with your computer files as you are with your home filing cabinet. When filing an electric bill for example, you would never simply throw it in the bottom of your filing cabinet. You would take the time to open the file drawer and file it in the appropriate folder. It is no different with your computer files. Start being more aware of how you are storing your files starting today. You will be glad you did.
